Add a person to your team

For: Owners Where: Setup > Team > People > Add person Available: Web dashboard · All countries Each person on your team should sign in with their own email, not a shared one. Then each person sees only what their job needs. How it works Every person on your team has one role. A role is the set of pages a person can open and change. For example, Branch staff can take orders but cannot see your sales. Read See what each role can open and do to pick the right one. When you add someone with a new email, Zyda creates their sign-in and emails them a password. The email says "You have been added to" and your store's name. They sign in with that password, then change it from their account page. The email may already have a Zyda sign-in, for example when the person works at another store. Then Zyda adds your store to that sign-in. They keep their own password, and they get no email. They see your store the next time they sign in. The People tab, with Add person at the top Add a person 1. Go to Setup > Team. 2. Select Add person. 3. Enter the Full Name, Email and Phone Number. 4. Under User Role, choose a role. The line under it lists the pages the role can change and view. 5. Under Branches, choose All branches or Only some branches. Read Limit a person to some branches. 6. Select Add. The person now shows on the People tab. Choosing a role for a new team member Find a person The People tab lists everyone on your team, 10 to a page. - Type in Search name, email or phone to find someone. - Choose a role in the All roles list to see only the people with that role. - Last active shows the last day the person used the dashboard. Never active means they have not signed in yet. - Added shows the day you added them. Rules and limits - Only the store owner can open Setup > Team. Other people see "You cannot open the team". - Each person has one role in your store. - A new person starts as Branch staff on all branches. Change the role before you select Add. - The name must have letters. The email and the phone number are required. - Zyda staff accounts do not show in your team list. Common questions The person did not get a password. What now? Ask them to check their spam folder. If they already had a Zyda sign-in, Zyda sends no email. They sign in with their own password, or select Forgot your password? on the sign-in page. Can I set the person's password myself? No. Zyda emails a password to a new person. Only the person can change their own password. I saw "was added to the team, but the role you picked was not saved". What does it mean? The person is on your team, with the ready-made role your choice is based on. The page opens their details. Check the role and select Save Changes again. Can one person work for two of my stores? Yes. Add the same email in each store. They choose the store after they sign in, and they can have a different role in each store. See what each role can open and do

For: Owners, Operations, Marketing, Finance, Branch staff Where: Setup > Team > Roles Available: Web dashboard · All countries Before you give someone a role, check what it lets them see and do. This page lists the five roles Zyda gives every store, and the pages each role sees. How it works A role is a list of pages, the same pages as in the sidebar. For each page, the role has one of three levels: - No access: the page does not show in the person's sidebar. - View: the person can open the page. - Edit: the person can open the page and change it. Edit includes View. Some actions move money or data out of your store. Each of these has its own switch, for example Refund money. A role that can edit orders cannot refund unless its switch is on. Zyda gives every store five ready-made roles, called Zyda templates. Zyda keeps them up to date, and you cannot change them. To change one, copy it. Read Create a role of your own. The Roles tab, with your own roles above the Zyda templates The five roles | Role | Made for | |---|---| | Owner | Everything, including payout bank details and the team. | | Operations | Runs the store day to day. No payments setup, no transactions and no team. | | Marketing | Offers, loyalty, campaigns, reviews, chats and the website. | | Finance | Sales, transactions, plan and invoices. | | Branch staff | Orders, sold-out items and drivers in their own branches. | Which pages each role sees "View" means the person can open the page but not change it. | Sidebar | Page | Owner | Operations | Marketing | Finance | Branch staff | |---|---|---|---|---|---|---| | | Home | Yes | Yes | Yes | Yes | Yes, their branches | | Manage | Orders and Preparation | Yes | Yes | View | View | Yes, their branches | | Manage | Closing | Yes | Yes | No | Yes | No | | Manage | Availability | Yes | Yes | No | No | Yes, their branches | | Manage | Drivers | Yes | Yes | No | No | Yes | | Respond | Chats | Yes | Yes | Yes | No | No | | Respond | Calls | Yes | Yes | Desk seat only | Desk seat only | Desk seat only | | Respond | Reviews | Yes | Yes | Yes | No | No | | Serve | Delivery | Yes | Yes | No | No | No | | Serve | Pickup, Curbside and Dine-in | Yes | Yes | No | No | No | | Serve | Catering | Yes | Yes | View | No | No | | Serve | Wholesale | Yes | Yes | No | No | No | | Grow | Offers, Loyalty, Campaigns and Banners | Yes | Yes | Yes | No | No | | Understand | Sales | View | View | View | View | No | | Understand | Customers | Yes | Yes | View | No | No | | Finance | Fees & payout and Transactions | View | No | No | View | No | | Finance | Plan | Yes | Yes | No | Yes | No | | Setup | Business and Branches | Yes | Yes | No | No | No | | Setup | Menu | Yes | Yes | View | No | No | | Setup | Storefront | Yes | Yes | Yes | No | No | | Setup | Payments | Yes | No | No | No | No | | Setup | Team | Yes | No | No | No | No | | Setup | Integrations | Yes | Yes | No | No | No | Some pages also need a feature to be on in your store: - Calls shows to Owner and Operations when your store has calls, or when they can turn calls on. Marketing, Finance and Branch staff see it only if they have a seat on your store's calls desk. - Dine-in, Catering and Wholesale show when your store can use them. - Transaction fees and the Deposits tab show only for stores paid through MyFatoorah. They follow Transactions. - Performance under Delivery needs Sales, so Owner and Operations see it. Who can refund, download and publish | Switch | Owner | Operations | Marketing | Finance | Branch staff | |---|---|---|---|---|---| | Refund money | Yes | Yes | No | No | No | | Download reports (sales) | Yes | Yes | No | Yes | No | | Download customer lists | Yes | Yes | No | No | No | | See product costs (cost, margin and cost of goods) | Yes | Yes | No | No | No | | Publish or unpublish the store | Yes | No | No | No | No | | Change payout bank details | Yes | No | No | No | No | Change payout bank details belongs to the Owner only. No other role can have it. Pages that follow the role name A few pages check the ready-made role a person's role is based on, not only the levels: - Team opens only for an Owner. A role of your own cannot give it, even with Team set to Edit. - Wholesale shows only to the Owner and Operations, and to roles you copied from Operations. - The Zyna AI tab under Chats needs a role based on Owner, Operations, Marketing or Finance. Roles based on Branch staff never see it. - Only the Owner, and roles based on Operations, can change the plan or add and remove services. Finance can open Plan and buy AI credits, but cannot change the plan. Only the Owner can cancel the plan. - Only the Owner, and roles based on Operations, can block a customer's phone number. - Only the Owner can import or export the menu. Rules and limits - Home, Orders and Availability show only the person's branches when their role is limited to some branches. Read Limit a person to some branches. - While the dashboard loads a person's role, their sidebar shows only Home. - Each person has one role in each store. Common questions Why can't my operations manager see Transactions? The Operations role has no access to Transactions and Fees & payout. Give them a role of your own, copied from Operations, with Transactions set to View. Can Marketing download my customer list? Not with the Marketing role. Copy it, and turn on Download customer lists in your copy. Can Branch staff refund an order? No. Ask someone with the Owner or Operations role to refund it, or give the person a role of your own with Refund money on. Some pages say Manager. Is that another role? No. Setup > Business > Alerts calls the Operations role Manager. It is the same role. Why does a page show to someone it should not? Check their role in Setup > Team > People, then open that role in Roles. What they see lists every page the role opens. Create a role of your own

For: Owners Where: Setup > Team > Add role Available: Web dashboard · All countries The ready-made roles fit most jobs, but not every job. A cashier may need to refund, or a marketer may need your customer list. Make a role of your own, with the exact pages and actions the job needs. How it works A role of your own always starts as a copy of a Zyda template: Operations, Marketing, Finance or Branch staff. You cannot copy Owner. Then you change the level of each page: - No access: the page is not in their sidebar. - View: they can open the page. - Edit: they can open the page and change it. Zyda AI uses Ask and Ask and edit in place of View and Edit. Sales and Transactions can only be viewed. Actions that move money or data have their own switch under their page. A switch works only when its page is at the right level. | Switch | Page and level it needs | |---|---| | Refund money | Orders at Edit | | Download reports | Sales at View | | Download customer lists | Customers at View | | See product costs | Menu at View | | Publish or unpublish the store | Storefront at Edit | | Change payout bank details | Owner only. Locked on every other role. | If you lower a page's level, Zyda turns off the switches that need more. Setting each page to No access, View or Edit Create a role 1. Go to Setup > Team. 2. Select Add role. 3. Enter a Role name, for example "Cashier". 4. Under Start from, choose the template closest to the job. 5. Select Create role. The new role opens. 6. For each page, choose No access, View or Edit. To set every page under one sidebar heading at once, use Set all next to the heading. 7. Turn on the switches the job needs. 8. Check What they see. It shows the sidebar this role opens. On a small screen, select Preview sidebar. 9. Select Save role. You see "Role saved." Now give the role to people in People. Read Add a person to your team. Copy a role - To copy a Zyda template, open it in Roles and select Copy and edit. - To copy one of your roles, open it and select Copy. The copy is named after the role, with "(copy)" at the end. Change the name and select Save role. Change or delete a role 1. Go to Setup > Team > Roles. 2. Select Edit next to your role. 3. Make your changes and select Save role. To undo them, select Discard. To delete it, select Delete, then Delete again. The people who had the role move to the template it was copied from. The change reaches everyone who has the role. Rules and limits - You cannot change a Zyda template. Zyda keeps them up to date. - Each role name must be different from your other roles and from the Zyda templates. 80 characters at most. - When Zyda adds a new page, your role gets it at the level of the template it was copied from. - Team opens only for Owners. A role of your own cannot give it. - Wholesale shows only to roles copied from Operations. The Zyna AI tab under Chats shows only to roles copied from Operations, Marketing or Finance. - Changing the plan and blocking a customer's phone number also need a role copied from Operations. Read See what each role can open and do. - A person with one of your own roles can be limited to some branches. Read Limit a person to some branches. Common questions How do I see who has a role? In Roles, select the number in the People column. People opens with only the people who have that role. Why can't I turn a switch on? Its page is not at the level the switch needs. For example, set Orders to Edit before you turn on Refund money. A person with View can still press a button. Why? Some pages still show their buttons to View users. When they try to save, Zyda refuses the change. Related articles - See what each role can open and do - Add a person to your team - Limit a person to some branches - Change or remove a team member

Limit a person to some branches

For: Owners Where: Setup > Team > People > Edit > Branches Available: Web dashboard · All countries A cashier in Salmiya does not need to see the orders of your Hawally branch. Limit each person to the branches they work in. How it works Branches belong to the person, not to the role. One Branch staff role can serve every branch, and each person gets their own branches. When you limit a person to some branches, three pages show only those branches: - Home - Orders, including what they can accept, change and refund there - Availability, where they mark items sold out Every other page in their role works for the whole store. The By branch badge in a role marks these three pages. All branches includes the branches you add later. Only some branches does not. Tick a new branch for the person when you add it. Limiting a person to two branches Choose a person's branches 1. Go to Setup > Team. 2. Select Edit next to the person. For a new person, select Add person. 3. Under User Role, choose Branch staff or one of your own roles. 4. Under Branches, choose Only some branches. 5. Tick each branch the person works in. 6. Select Save Changes, or Add for a new person. Operations, Marketing and Finance also cover the whole store. For them, the Branches choice is greyed out. - Tick at least one branch, or you see "Tick at least one branch." - If you delete every branch a person works in, they lose access to your store until you tick another branch for them. - If you delete a role, its people move to the template it came from. Only people moved to Branch staff keep their branches. Common questions Can an operations manager look after only one branch? Not with the Operations role, which covers the whole store. Copy Operations into a role of your own, then limit the person to that branch. Only Home, Orders and Availability follow the limit. Pages such as Menu and Delivery still cover the whole store. Does a branch limit change the sales reports they see? No. Only Home, Orders and Availability follow the branch limit. If the role can view Sales, the person sees the whole store's sales.
