Find and follow orders on the Orders page

For: Branch staff, Operations, Owners Where: Manage > Orders Available: Web dashboard and Zyda phone app (Android) · All countries The Orders page is where your team works all day. It updates by itself. New orders and status changes appear without reloading the page. How it works Manage > Orders has two tabs: - Current Orders: open orders due in the last 6 hours or later. - Past Orders: finished and cancelled orders, and open orders due more than 6 hours ago. The list shows the last 30 days by default. The Orders list with due times, statuses and next-step buttons Read a row | Column | Shows | |---|---| | When | When the order was placed. A blue dot means nobody has opened it yet. | | Customer | Name and order number, with marks: Arrived (a curbside customer is waiting, with a timer), Edited, Manual order, the order source, and a note mark. | | Type | Delivery, pickup, beach or dine-in, with the area or branch. | | Amount | Total and payment method. | | Due | A countdown: "due in 6m", "due now" or "overdue 12m". It turns amber at half the time and red 10 minutes after the due time. | | Status | The current step. Select it to change the step. | Curbside customers who arrived are pulled to the top, longest wait first. Finished deliveries show Delivered on Time, Delivered Early or Delivered Late, measured against the time promised at checkout. Ten minutes either way counts as on time. Search Type an order number, phone number, customer name or promo code, then press Enter. Search looks at every status, across the last 12 months. Clear the box to go back to Current Orders. Filter and sort - Date: Today, Last 7 days, Last 30 days or Custom Date (up to 62 days). - Status and Type. - More filters: Payment, Source, Placed through (website, your app or manual order), Refund, Wholesale and Driver. - Sort: Newest placed or Earliest scheduled. Select Export. 2. Choose Filtered Orders, Current Orders or Past Orders. 3. Optional: include the items in each order, or the timeline of each order. 4. Select Export. Zyda emails you the file. Take an order by phone, WhatsApp or at the counter

For: Owners, Branch staff, Operations Where: Manage > Orders > Create Order Available: Web dashboard and Zyda phone app (Android) · All countries A customer calls, sends a WhatsApp message or walks in. You take the order in the dashboard, and it goes to the kitchen like any online order. Zyda prices it, finds the delivery zone and can send the customer a payment link. How it works You find the customer by phone number, add items from your menu, then choose where, when and how they pay. Zyda works out the delivery fee, discounts and total. You cannot type a price or a free-form discount. The order shows in Orders with a Manual order mark and the source you chose, for example Phone or WhatsApp. It then moves through the same steps as any other order. The order screen: the customer, their past orders and Reorder Step 1: Find the customer 1. Go to Manage > Orders and select Create Order. In the new look of the Zyda app on Android, open Orders and tap New. See Create an order in the app. 2. Choose the country code and type the customer's full mobile number. 3. Select the customer. Under the name you see how many orders they placed with you and how many addresses they saved. 4. If the number is new, you see "This looks like a new customer". Enter the Full Name and select Add Customer. If you answer calls in the Zyda dashboard, the order screen can open by itself with the caller's number filled in. A blocked number cannot order. You see "This number is blocked." Step 2: Add items 1. Pick a category or select Search the menu. 2. Select an item. Choose the size and options. The screen says which options are required and how many to choose. 3. Add a kitchen note if needed, set the Quantity, and select Add to order. 4. To repeat an earlier order, open Past orders and select Reorder. If the order already has items, choose Add to cart or Replace cart. Items no longer on the menu are listed with the reason. Each line in the order has Edit, Remove and Add note. To use a promo code, select Enter a code, type it and select Apply. If it does not apply, the screen says why, for example "This code has been used the maximum number of times." Select Continue to payment. Step 3: Choose where, when and payment Where 1. Choose Delivery or Pickup. You see only what the branch offers. 2. For delivery, choose a saved address, an address found on the Zyda network, or Add a new address. 3. For a new address, search or drop the pin on the map. In Kuwait, you can search PACI. Fill in the address and select Save address. Zyda finds the delivery zone from the pin. The zone sets the delivery fee, the delivery time and the minimum order. If another branch delivers to the address, the screen offers to switch to it. When - As soon as possible, or - Later: pick a day and a time. You see only times the branch can take. Payment | Choose | When | |---|---| | Cash or Card on delivery | The customer pays when they get the order. | | Send payment link | The customer pays online. Zyda sends a link by SMS in Kuwait and Egypt, and by WhatsApp in other countries. Never take card numbers on the phone. | | Paid in store | The customer already paid at your counter. The order is marked paid. | | Use the wallet balance | The customer spends their store wallet, with cash or card on delivery for the rest. | Source Under Order source, choose how the customer reached you, for example Phone, WhatsApp, Instagram or Walk-in. If you choose nothing, Zyda uses Phone. You can then filter the Orders list by source. Select Place order. The new order opens so you can check it. Rules and limits - If Place order is grey, the screen says why, for example "Choose the delivery address to continue". - Manual orders pay no service fee. - Manual orders earn loyalty points for the customer. Cashback counts only for orders paid online with a payment link, unless your cashback covers cash too. - You cannot add booking items, or items that need a photo from the customer. For a photo item, send the customer the payment link so they can add it. - If you close the order screen, Zyda keeps the items. Open the same customer again to carry on. Common questions Can I give a discount on a phone order? Use a promo code. There is no free-form discount, so every discount is tracked. Does the customer get a review request? No. Manual orders do not send a review invite. Why is a time I want not shown? The branch is closed, busy, too close to the order time for the kitchen, or past how far ahead you take orders. Edit an order after it is placed

For: Owners, Branch staff, Operations Where: Manage > Orders > open an order > Edit order Available: Web dashboard and Zyda phone app (Android) · All countries An item runs out after the order comes in, or the customer calls to change it. Optional: - Add a Note for your team. - Tick Customer agreed by phone. - Keep Notify customer ticked to send the customer the changes and the new total. - Under Mark unavailable, tick a removed item to switch it off for a time you choose. 7. Select the confirm button. It names what happens, for example Confirm and refund or Confirm and collect. You see "Order updated". What the customer gets If Notify customer is ticked, the customer gets one message with the changes and the new total. If a refund started, the message says so. Zyda sends it in the customer's WhatsApp chat, or from your WhatsApp number, or by SMS. See what changed - The order shows Edited in the Orders list. - The Changes card in the order lists each edit: who made it, when, the reason, the items and any refund. - The printed receipt shows that the order was edited. When you cannot edit If Edit order is greyed out, it says why: | Message | Why | |---|---| | This order can no longer be changed at its current status. | You can edit only new, accepted or ready orders. | | The customer has not finished paying for this order. | Wait for the payment. | | This order is in your POS. Cancel the order instead. - Combos can be removed, but not changed. Reward items and booked slots cannot be changed. - A promo code is priced again on the new items. A percentage code keeps its percentage, but never gives more than the first discount. A fixed code is capped at the new item total. - The delivery fee and service fee do not change. - Removed items go back into stock. Common questions The refund failed. What now? The edit is saved. Open the order, find the edit in Changes, and select Retry. Does an edited refund show in my closing report? Yes, under Refunded by edit. It is not counted again in refunds, because the edit already lowered the order total. Cancel or reject an order

For: Owners, Branch staff, Operations Where: Manage > Orders > open an order > Cancel order Available: Web dashboard and Zyda phone app (Android) · All countries Sometimes you cannot make an order. An item ran out, the kitchen is overloaded, or the customer changed their mind. To reject a new order, or cancel one already in progress, use Cancel order and say why. How it works The reason you choose does two jobs. It tells your reports why orders get cancelled. It also lets you fix the cause in the same step, for example take a sold-out item off the menu. When you cancel, Zyda: - tells the customer by push notification, and by SMS if order status SMS is on - cancels the driver or courier request - puts back the stock and the daily limit of each item - gives the promo code use back to the customer - takes back loyalty points and cashback, and gives back points the customer spent - updates your POS, if you use one Cancelling does not send money back by itself. You choose the refund next. The cancel reasons with Item unavailable open: mark items unavailable, and for how long Cancel an order 1. Open the order in Manage > Orders. 2. Select Cancel order. 3. Under Why are you cancelling?, choose a reason. 4. Answer the extra question for that reason, if there is one. 5. Select Confirm Cancellation. The reasons | Reason | What you can do in the same step | |---|---| | Item unavailable | Tick the items to take off the menu at this branch: for 1 hour, 2 hours, 4 hours, until tomorrow, or until you turn them back on. Not shown when your POS manages the menu. | | Kitchen too busy | Pause new orders at this branch for 30 minutes, 1 hour or 2 hours, for delivery, pickup or both. Or choose Don't pause. | | Store closed or closing | – | | Delivery problem | Say what happened: no driver, outside the delivery area, or the customer could not be reached. Test orders do not count in your cancellation rate. If you cancel an order, then the pause fails, you see "The order is cancelled, but the branch could not be set as busy." Set the branch as busy from the Orders page. Courier orders If a courier company has the order, the screen warns you first. The courier may charge a cancellation fee, or you may need to call the courier's support. Common questions Is there a Reject button? No. To reject a new order, select Cancel order and choose the reason. Can I cancel a delivered order? Yes. Cancellation works from any status. Will the customer get their money back?
